About the Role
Reporting to the Director, Publications Specialist/Aurora Business Admin, the Scientific Publications Record Coordinator will be a key contributor within the Publications Management Team (PMT). Key Responsibilities
1. Aurora Recordkeeping and Compliance
The core responsibility of this role revolves around maintaining publication records in the Aurora system. The tasks include:
Creating and Maintaining Records
- Accurately create publication records for assigned SPCs.
- Continuously update, validate, and maintain metadata throughout the publication lifecycle.
- Link appropriate relationship data, including study information, journals or congress details, parent or child records, and collaborators.
Ensuring Compliance
- Adhere to Pfizer’s publication SOPs and maintain compliance across all processes.
- Support documentation workflows, ensuring review and approval processes are followed correctly.
- Monitor record statuses and consistently follow up with Publication Owners and authors.
- Ensure all required compliance steps are performed and recorded accurately.
Managing Publication Workflow
- Route drafts for review and approval through Aurora.
- Track all activities and milestones in the publication lifecycle.
- Update final publication status, citation data, and upload final document files.
- Conduct quality checks to ensure data accuracy for downstream analytics, dashboards, and reporting.
2. Collaboration and System Improvement

Cross-Functional Collaboration
- Work closely with Publications Specialists to provide status updates supporting publication planning and tracking.
- Participate in Scientific Publication Committee meetings on an ad hoc basis depending on project needs.

- Assist in updating training materials that help users navigate Aurora more efficiently and compliantly.

Data Integration and Business Development Support
- Support data migration and documentation activities during system integrations.

- Provide support and guidance to teams onboarding new publication data into Aurora.
Other Support Activities
- Assist in monitoring primary manuscripts for Pfizer’s commitment to 18-month Primary Completion Date submissions.
- Support Open Access metrics and communication with data providers when needed.
Minimum Requirements

Educational Background
